Description: Midwest Family Mutual is a growing and innovative property/casualty insurance company providing independent agents and their insureds with exceptional P&C insurance coverage and service since 1891. We are looking for someone with energy and enthusiasm to work in our Plymouth, MN office.

The Office Services Representative/Office Coordinator is an administrative and data entry position that requires excellent computer skills, strong customer service skills, reliability, and strong attention to detail.

Responsibilities include, but not limited to, the following:

  • Scan and collate mail, faxes, emails, and miscellaneous documents.
  • Ensure that work is collated and directed to the appropriate person and/or work queue in an accurate and timely fashion.
  • Multiple line reception phone - Answer incoming phone calls and assist callers, providing excellent customer service in a courteous and professional manner.
  • Print and process outgoing mail and packages in an accurate and timely manner.
  • Coordinate and manage the day to day office responsibilities, including:
  • Coordinate and reserving meeting space and MFM conference room in the Plymouth office building as requested.
  • Set up Plymouth meeting space and coordinate with IT to ensure organizer has access to requested items such as Wi-Fi, laptop, projector, conference phone, etc.
  • Coordinate beverage and/or catering needs with meeting organizer.
  • Assist with setup/takedown.
  • Reserve cubicles in Plymouth office as needed for employees, as requested by their supervisor.
  • Assist management as needed when they are in the Plymouth office.
  • Submit and track all Plymouth office maintenance requests.
  • Responsible to maintain and schedule office equipment maintenance through approved vendors.
  • Keep all office supplies stocked, including breakroom supplies (i.e. coffee, water, soda, etc.) and reconcile invoices for accounting.
  • Work directly with vendors such as USPS, FedEx, and UPS regarding shipping, scheduled pickups, and ordering mailing supplies.
  • Assist office personnel and other departments as needed.
  • Other functions may be assigned as business conditions change.


  • Strong written and verbal communication skills.
  • Ability to work independently and be self-motivated.
  • Reliable attendance and transportation.
  • Excellent customer service and interpersonal skills
  • Receptionist/front desk and call queue experience is required.
  • Strong organizational skills and attention to detail.
  • 1 to 2 years of office manager or administrative experience.
  • Data entry skills and experience.
  • Good analytical skills.
  • Excellent computer skills, keying proficiency, and proficient with MS Office products.


  • High School Diploma or GED.
  • Previous customer service experience.
  • Insurance education/experience is a plus.
